The Host Connect Sponsor and Exhibitor Policies

Exhibitor and Sponsor Participation Policy

By confirming sponsorship or exhibitor participation, you agree to uphold the spirit of collaboration, professionalism, and integrity that defines The Host Connect. All sponsored content must be truthful and not misleading, and sponsors must refrain from disparaging other participants or brands.

Payment & Cancellation Policy

Full payment is due within 14 days of signed agreement or invoice unless otherwise arranged in writing; Gold level and above may split payment 50% upfront and 50% 60 days prior  Sponsorship is not considered confirmed until payment is received. Sponsorships are non-refundable. 

Sponsorship Deliverables

To ensure inclusion in all materials, sponsors must provide the following by the listed deadlines

• High-resolution logo (vector preferred)

• Ad copy and/or graphics (if included in your package)

• Speaker/session title and description (if applicable)

• Swag items (if included )

• Other agreed-upon assets

Late submission may result in exclusion from printed or digital materials.

Exhibitor Setup & Breakdown

Exhibitor load-in will be available from 9am, Thursday, March 5. All booths must be fully set up by 11am. Exhibitors may not dismantle booths before the 3:30pm Friday, March 6 unless granted prior approval.

Shipping Policy

Exhibitors are responsible for all shipping costs to and from the venue. The Host Connect is not responsible for lost or damaged items during transit. Shipping instructions will be provided no later than Feb. 12, 2026

Liability Disclaimer

Exhibitors assume full responsibility for their display materials, staff, and personal property. The Host Connect and its venue partners are not liable for loss, theft, or damage.

We recommend all sponsors and exhibitors carry their own event liability insurance.

Staffing Expectations

All booth staff must be registered and wear appropriate credentials throughout the event. Sponsors are responsible for briefing their teams on the event’s Code of Conduct and professional expectations.

Code of Conduct

The Host Connect is committed to creating a safe, respectful, and welcoming environment for all participants.

We expect all attendees, speakers, sponsors, and volunteers to treat each other with courtesy and professionalism.

Harassment, discrimination, or disruptive behavior will not be tolerated.

Organizers reserve the right to remove any individual who violates this code of conduct from the event without refund.
